Nmible helps sponsors, CROs, and research sites manage participant reimbursements for travel, meals, accommodation, stipends, and other study expenses. The previous version used separate databases for different customers. As Nmible grew, that model became harder to manage and more expensive to maintain..

The Challenge
Nmible's PASS backend was built as a single-tenant system where each customer required a separate database and deployment.

Onboarding new sponsors and CROs took weeks. Customers experienced version drift where some had newer features while others waited. Troubleshooting required digging through siloed systems.

One backend that could serve different customers without requiring a separate deployment for each one while keeping each tenant's data, workflows, and payment activity completely separate.
The Solution
InvoZone rebuilt PASS V3 on FastAPI and PostgreSQL with tenant separation enforced across the application and database.
Multi-Tenant Backend
Hostname-based tenant resolution, application RBAC, and PostgreSQL Row-Level Security ensure complete data isolation across tenants.
Participant Reimbursements
Supports claims for travel, accommodation, food, parking, prescriptions, mileage, stipends, and small task payments.
Global Payouts
Bank transfers, virtual cards, physical cards, and debit cards through connected payment systems.
AI Receipt Processing
Receipt images are detected and cropped with YOLO before AI providers extract relevant information in the background.
Enterprise SSO
Each customer connects its own Microsoft Entra setup with tenant-specific roles and access controls.
Audit and Tax Workflows
Audit records for key changes with W-9 and 1099 handling built in.
Configurable Approvals
Supports simple approvals, multi-step review, amendments, pending states, and four-eyes review.
